This will allow you to free up space within your mailbox without permanently deleting historic messages.<\/p>\n<p>The following guide should explain how to create an archive location in Outlook 2007\/2010\/2013 \u2013 the label and location of some options will vary between Outlook versions.<\/p>\n<h3>Creating an Archive Data-File in Outlook<\/h3>\n<p>If you do not have a local folder location\/data file within Outlook for archiving messages \u2013 you can follow the steps below to create a new data file.<\/p>\n<li style=\"list-style-type: none;\">\n<ol class=\"step_by_step\">\n<li>Go to the <strong>File<\/strong> menu (tools menu in Outlook 2007):<\/li>\n<p><img decoding=\"async\" class=\"screenshot\" src=\"\/support\/articles\/attachment\/427\/inline\/original\/1455188901\/file_menu.png\"><\/p>\n<li>Open the <strong>Account Settings<\/strong> menu:<\/li>\n<p><img decoding=\"async\" class=\"screenshot\" src=\"\/support\/articles\/attachment\/428\/inline\/original\/1455188923\/account_settings.png\"><\/p>\n<li>Go to the tab within the account settings menu for <strong>Data Files<\/strong>:<\/li>\n<p><img decoding=\"async\" class=\"screenshot\" src=\"\/support\/articles\/attachment\/429\/inline\/original\/1455188955\/data_files.png\"><\/p>\n<li>Select <strong>Add<\/strong> to create a new data file (.pst file):<\/li>\n<p><img decoding=\"async\" class=\"screenshot\" src=\"\/support\/articles\/attachment\/430\/inline\/original\/1455188983\/add_data_file.png\"><\/p>\n<li>Enter a file-name for the data-file and select location if required \u2013 in this example the data file is named <strong>Email archive file<\/strong>:<\/li>\n<p><img decoding=\"async\" class=\"screenshot\" src=\"\/support\/articles\/attachment\/431\/inline\/original\/1455189005\/create_data_file.png\"><br \/>\nThen select <strong>Ok<\/strong> to create the new data file.<\/p>\n<li>You should see now, that a new folder location has been added within the folders pane in Outlook:<\/li>\n<p><img decoding=\"async\" class=\"screenshot\" src=\"\/support\/articles\/attachment\/432\/inline\/original\/1455189026\/archive_folder.png\"><\/p>\n<li>Right-click on the folder heading to add sub-folders to copy your mail items to:<\/li>\n<\/ol>\n<\/li>\n<p><img decoding=\"async\" class=\"screenshot\" src=\"\/support\/articles\/attachment\/433\/inline\/original\/1455189060\/create_sub-folder.png\"><\/p>\n<h4>Archiving Messages in Outlook<\/h4>\n<p>After creating an archive location\/data-file &#8211; you can copy messages from your IMAP mailbox, to folders created under this data-file by highlighting the messages you want to archive in your IMAP account and dragging\/dropping them in to the required folder under this data-file. The messages will then be moved to the selected location and automatically removed from your IMAP mailbox on the LCN server.<\/p>\n<p>You can also use the auto-archiving features in Outlook by going to the \u2018file\u2019 menu and selecting the menu for <strong>Cleanup Tools<\/strong>, then selecting <strong>Archive<\/strong>:<\/p>\n<p><img decoding=\"async\" class=\"screenshot\" src=\"\/support\/articles\/attachment\/434\/inline\/original\/1455189082\/auto-archive.png\"><\/p>\n<p>Select the folder that you want to archive \u2013 set a date range to archive message for and select the data-file location that the archived messages should be moved to. Select <strong>Ok<\/strong> to automatically archive messages for the selected folder\/date-range:<\/p>\n<p><img decoding=\"async\" class=\"screenshot\" src=\"\/support\/articles\/attachment\/435\/inline\/original\/1455189097\/auto-archive_options.png\"><\/p>\n<p>Once your account has completed synchronising in Outlook, you can check that the disk usage for your account has updated by logging in to Webmail: <a href=\"https:\/\/webmail.lcn.com\" target=\"_blank\" rel=\"noopener noreferrer\">https:\/\/webmail.lcn.com<\/a>.<\/p>\n<p>That&#8217;s it!
