If you\u2019re away for a given length of time it can be useful to set up an\u202fauto responder<\/strong>\u202f(also known as an\u202fout of office<\/strong>\u202freply) to automatically reply to anyone that emails you.\u00a0<\/p>\n\n\n\n

The response can be anything you like, and you\u2019re not limited by character length. An example of an auto response would be: <\/p>\n\n\n\n

\u201cI am out of the office until 1st January. I will address your query upon my return. Should your message be urgent, please contact: 01234 567 890, Thank you for your e-mail.\u201d<\/em>\u00a0<\/p>\n\n\n\n

Let\u2019s get started\u2026\u00a0<\/p>\n\n\n\n

Setting up your auto responder reply\u00a0<\/h3>\n\n\n\n
  1. Log in to LCN Webmail<\/a>. <\/li><\/ol>\n\n\n\n
    1. Click\u202fSetting<\/strong>\u202fand select\u202fOut of Office<\/strong>. <\/li><\/ol>\n\n\n\n
      1. You can now see your Reply Message <\/strong>details. Start off by entering the Subject <\/strong>of your Out of office message, followed by the Body <\/strong>of text you would like to have sent. <\/li><\/ol>\n\n\n\n
        1. Choose the\u00a0Start time\u00a0<\/strong>and\u00a0End time\u00a0<\/strong>you would like your Out of office to run for.\u00a0
          \u00a0
          If you would like your out of office to start immediately you can leave\u00a0Start time<\/strong>\u00a0blank. If you would like the out of office to continue indefinitely leave the\u00a0End time<\/strong>\u00a0blank.\u00a0<\/li><\/ol>\n\n\n\n
          1. Choose the status<\/strong> of your out of office. <\/li><\/ol>\n\n\n\n
            1. Click SAVE<\/strong> <\/li><\/ol>\n\n\n\n
              \n

              Please Note:\u00a0<\/strong>If you set a start time and do not turn on your responder\u00a0it will not start, make sure you turn your status on.<\/span><\/p>\n<\/div>\n\n\n\n

              That\u2019s it! You\u2019ve now successfully setup your\u00a0out of office.\u00a0<\/p>\n\n\n\n

              Changing your Out of Office settings\u00a0<\/h3>\n\n\n\n

              Now that you have set up your Out of office <\/strong>you may want to adjust your settings such as the Reply sender address<\/strong>, <\/strong>which email you would like the responder to be for if you have more than one for your mailbox, and how frequent you would like the reply to be sent. <\/p>\n\n\n\n

              To check and change these settings you will first\u2026 <\/p>\n\n\n\n

              1. Log in to LCN Webmail<\/a>. <\/li><\/ol>\n\n\n\n
                1. Click\u202fSetting<\/strong>\u202fand select\u202fOut of Office<\/strong>. <\/li><\/ol>\n\n\n\n
                  1. Click on Advanced settings<\/strong>. <\/li><\/ol>\n\n\n\n
                    1. In Reply sender address<\/strong> enter the address you would like to reply with your out of office message. <\/li><\/ol>\n\n\n\n
                      1. In My e-mail addresses<\/strong> <\/strong>select the email or emails, if your have more than one for your mailbox, you would like the out of office to be for. You can click Fill with all my addresses <\/strong>to add all your mailbox emails. <\/li><\/ol>\n\n\n\n
                        1. Next select the\u00a0Reply interval<\/strong>, this will dictate how often\u00a0your\u00a0reply will send.\u00a0
                          \u00a0
                          For example, if you set your interval as 1 day,\u00a0if someone emails you twice in the same\u00a0day\u00a0they will only receive your out of office once within that period.\u00a0\u00a0<\/li><\/ol>\n\n\n\n
                          1. Lastly, you will want to choose what to do with\u00a0the messages sent to you while you are away.\u00a0\u00a0
                            \u00a0
                            From\u00a0Incoming message\u00a0action<\/strong>,\u00a0<\/strong>you can choose to:\u00a0\u00a0<\/li><\/ol>\n\n\n\n
                            • Keep\u00a0<\/strong>\u2013 This will keep the message in your inbox for when you return.\u00a0<\/li>
                            • Discard\u00a0<\/strong>\u2013 This will discard messages received.\u00a0<\/li>
                            • Redirect to\u00a0<\/strong>\u2013 This will re-direct messages to an address of your choosing.\u00a0<\/li>
                            • Send copy to\u00a0<\/strong>\u2013 This will keep the email in your inbox but also send a copy of the email to an address of your choosing.\u00a0\u00a0<\/li><\/ul>\n\n\n\n
                              1. When you are happy with your setup click SAVE<\/strong>. <\/li><\/ol>\n\n\n\n
